NDIS Funding Guide • 2026–27 support and claiming guidance

An NDIS invoice should let the participant or plan manager understand what support occurred, who delivered it, what item code applies, when and where it happened, how many units were billed and which additional costs were agreed.

The short answer

An NDIS invoice should let the participant or plan manager understand what support occurred, who delivered it, what item code applies, when and where it happened, how many units were billed and which additional costs were agreed.

What should a useful NDIS invoice show?

Information What to verify Reason
Support item number Matches the actual work and funding purpose. Different codes may have the same maximum but different eligibility.
Service date/time Start and finish times, correct day, shift and public holiday. Night, evening and weekend rates follow specific definitions.
Worker/qualification Person delivering the support meets any relevant requirements. Do not bill clinical nurse or therapy rates for unqualified work.
Unit, rate and quantity Matches an hour, day, each, month or other official unit. Fractional hour billing reflects the actual eligible minutes.
Geography National, remote or very remote according to service location. Remote loadings are item-specific.
Extra charges Travel time, kilometres, parking, tolls, cancelled bookings separated. Different costs have different claim types and conditions.

Worked example: 90 minutes of weekday personal care

A qualified support worker delivers an eligible standard personal care service on an ordinary Wednesday from 9 am to 10:30 am in an MM1 metropolitan location. The self-care weekday daytime item 01_011_0107_1_1 is $73.58/hour nationally. The 90-minute mathematical ceiling is 1.5 × $73.58 = $110.37. The provider should not invoice two hours merely because the initial booking was for two hours unless a separate valid cancellation or agreed claim basis exists.

Worked example: OT plus eligible travel time

An OT supplies one hour of an appropriate disability-related assessment. The national 15_617_0128_1_3 direct service limit is $193.99. The separate provider travel time limit 15_617_0128_1_3_PT is $97.00/hour; 15 genuinely eligible agreed minutes would be $24.25. Travel eligibility must still meet the operative rules, and the travel time line is not a vehicle kilometre reimbursement.

Worked example: an establishment charge or an overnight fee

The schedule's establishment item is a per-instance limit (national $735.80), not a routine administration hour. Ask for the criteria if one appears on an invoice. An eligible sleepover uses a per-instance item (national standard $311.79) instead of billing every overnight hour as active care, subject to the separate rule about more than two hours of active assistance.

How should disputes be handled?

Start by requesting a corrected itemised invoice and the service record. Explain the exact line in dispute, such as a time band, duplicate travel, unconfirmed worker classification, overstated support duration or price above the listed maximum. Keep a copy of the service agreement and relevant communications. Ask your plan manager for clarification, or raise unresolved concerns with the NDIS or the NDIS Quality and Safeguards Commission where relevant.

Common questions

Can I charge this just because a code appears in the schedule?

No. The support must meet the participant's disability-related need, applicable funding rules and the permitted claim type. The schedule tells you the price limits, not whether this individual participant can claim every listed item.

Are 2026–27 prices fixed for the whole year?

The schedule is effective 24 September 2026 but may be amended. Check the latest official version and the new claiming documents as they are published.
